The system currently collects resumes through Gmail. Before connecting a mailbox, complete the steps below on the Google side. It takes about 5 minutes.
1. Choose a Gmail account
- Shared by the company: we recommend creating a dedicated Gmail account for resumes, for example
jobs.companyname@gmail.com, and using it on all job platforms from now on. - Personal, for one HR: you can also use your existing Gmail. In that case we recommend also setting up a label so only application emails enter the system. See Resumes only: use a Gmail label.
2. Turn on 2-Step Verification
Open directly: 2-Step Verification page (after signing in with this Gmail)
- Sign in to your Google Account page (myaccount.google.com) with this Gmail.
- Go to "Security", find "2-Step Verification" and follow the steps to turn it on (usually you need to add a phone number).
Without 2-Step Verification, you will not see "App passwords" in the next step.
3. Create an app password
Open directly: App passwords page
- Still in "Security" → "2-Step Verification", scroll to the bottom and click "App passwords".
- Enter any name, for example "JobTalent", and click "Create".
- Google shows a 16-character password in 4 groups. Copy it. You need it to connect the mailbox.
When you paste it into the system, spaces don't matter. The system removes them automatically.
After you close this page, you can't see the password again. If you did not save it, delete it and create a new one.
4. Check that IMAP is enabled
Open directly: Gmail "Forwarding and POP/IMAP" settings. Or in Gmail on the web, click the gear icon in the top right → "See all settings" → "Forwarding and POP/IMAP". Make sure "Enable IMAP" is selected, then save. Some accounts have IMAP on by default and don't show this option. If so, skip this step.
Why an app password
- The system uses an app password, not your Gmail login password. Do not enter your login password in the system. It will not work.
- An app password is for programs such as mail clients. It cannot be used to sign in to your Google Account on the web or to change account settings.
- The system stores it encrypted.
- When you no longer want the system to read this mailbox, go back to the "App passwords" page and delete it. The system loses access immediately.
When you change your Google password, all app passwords created before stop working. You then need to create a new one and enter it in the system again.
Common problems
- Can't find "App passwords": usually 2-Step Verification is not on yet. For a company Google Workspace mailbox, your IT admin may also have turned this feature off. Ask them to enable it.
- The system says Gmail login failed: make sure you entered the app password, not the login password, and check that IMAP is enabled.
