If you connect a Gmail that the HR also uses day to day, the inbox will contain both personal and work email. In that case, we recommend syncing a single dedicated label: a Gmail filter places application emails into this label automatically, and the system reads only that label. Other email does not enter the system and does not use resume credits.
1. Create a label in Gmail
In Gmail on the web, click "Create new label" in the left sidebar and give it a name, for example "Resumes". Non-English names also work.
2. Create a filter that adds the label
- Click the "Show search options" icon to the right of the search box at the top of Gmail.
- Fill in conditions that match your application emails. For example, in "Subject" enter
Lamaran OR CV OR Application OR Resume(ORmust be in capitals), or in "To" enter your application address, for examplejobs+cl@gmail.com. You can also tick "Has attachment". - Click "Create filter".
- Tick "Apply the label" and choose the "Resumes" label you just created.
- If you also want existing application emails in the inbox to go into the label, tick "Also apply filter to matching conversations".
- Click "Create filter" again to save.
Before creating the filter, you can click "Search" in the search options to see which emails match, and make sure no personal email is included.
If the filter is too narrow, it will miss resumes. If it is too broad, unrelated email will also enter the system. Start a bit broad, then after a few days check what was missed and what was extra, and adjust.
3. Enter the label name in the system
In "My recruiting mailbox" (or, for admins, "Settings" → "Recruitment mailbox & codes"), edit the mailbox, enter the label name in "Only this label / folder", for example Resumes, and save.
- The label name must match Gmail exactly, including upper and lower case. If it is wrong, saving shows a message that the label can't be found in Gmail.
- Leave it empty to pull the whole inbox.
After changing the label
When you switch to another label, the system starts pulling again from the new label:
- "Only new mail from now on" checked: only mail that arrives in the new label from now on is collected.
- Not checked: all existing mail in the new label is also processed.
Resumes that already came in from the old label are not affected.
